Job Description

We’re looking for a Transaction Coordinator (TC) to oversee and manage our deals from contract to close. You’ll be the communication hub between buyers, title companies, agents, and our internal team—ensuring every transaction runs smoothly, deadlines are met, and nothing slips through the cracks. This is a remote position ideal for someone who thrives on organization, attention to detail, and problem-solving in a fast-paced, multi-state environment. Responsibilities: • Aid real estate agents, clientele, and other stakeholders with paperwork and ensure the completion of all escrow documents, such as appraisals, titles, and mortgage loans • Ensure inspections are scheduled and assist with negotiating and completing any necessary repairs • Input client information into the client database system, track transaction activities, and submit each necessary document to the office broker for file compliance • Review all documentation and confirm each has the proper signatures and dates to complete the home sale process quickly and smoothly • Supervise all administrative duties for home buyer and seller transactions from contract to close • Coordinate and attend all closing procedures, such as moving schedules • Manage all administrative aspects of residential real estate transactions (primarily novation and wholesale deals). • Open and coordinate files with title and escrow companies across multiple states. • Review purchase agreements, amendments, and addenda for accuracy and compliance. • Track milestones and critical dates from execution through closing. • Work with our team to coordinate and confirm inspections, appraisals, and buyer access. • Communicate daily with all parties to ensure timelines are met. • Prepare and maintain transaction notes, status updates, and closing checklists. • Coordinate with our acquisition and disposition teams for smooth handoffs. • Troubleshoot title issues or closing delays proactively. • Manage disbursement summaries and confirm closing proceeds are correct before disbursement. Qualifications: • Motivated to serve people and provide excellent customer service • Previous experience in transaction management, transaction coordination, real estate, titles, or mortgages highly valued • Candidates should be organized and able to communicate written and verbal information to clients accurately and clearly Requirements: • Prior real estate transaction coordination experience with NOVATIONS (retail, investment, or wholesale). • Strong understanding of contracts, title/escrow, and closing processes. • Experience with multi-state transactions preferred. • Excellent written and verbal communication skills. • Detail-oriented, proactive, and reliable under tight deadlines. • Tech-savvy (Google Drive, CRM systems, and digital contract platforms like PandaDoc). • Ability to manage 15–25 transactions at once with precision. Preferred Experience: • Previous work with investors, wholesalers, or novation models is a major plus. • Title or escrow experience and relationships nationwide strongly preferred. • Familiarity with real estate marketing and MLS listing coordination is helpful.
