Office Assistant (Immigration Law)

Immigration law firm specializing in artist visas located in West Concord, Massachusetts

About Us :

We are a friendly, supportive, ethical, and busy immigration law firm which for 25 years has specialized in obtaining artists visas for filmmakers, actors, musicians, stylists, business executives, and other prominent professionals, and in obtaining green cards, naturalization and other immigration-related applications and benefits. Many of our clients are prominent in their respective industries. Our in-office staff consists of 3 professionals, and another 4 paralegals and writers work remotely. Description:The Law Office has an opening for an Office Assistant (Immigration Law) who will help this thriving law practice function optimally and with a positive, energetic and forward-looking work environment. This is an position of 25-30 hours per week in West Concord, Massachusetts, one mile from the commuter rail station. The office functions during normal business hours, from 9:30am – 5:30pm.

Job Responsibilities:

  • Printing, organizing, and captioning evidence, and assembling into exhibits for review;
  • Preparing submissions for advisory opinion requests to labor unions in the arts;
  • Drafting immigration forms;
  • Drafting documents (letters of recommendation, petitioner letters, affidavits) as needed. Setting up client access to our online secure portal; liaisingwith clients regarding uploading of documents; maintaining portal templates; and
  • Maintaining workflow and exchanging files among paralegals and writers who work remotely, and tracking status of documents.
  • Scanning and printing client evidence, recommendation letters, paradigms, and other documents as needed;
  • Maintaining the attorney’s online calendar, sending calendar invitations for consultations and follow-ups, with client meetings typically via Zoom;
  • Ordering office supplies, paper, toner, etc. as needed; and
  • Maintaining photocopier and office equipment, liaising with vendors for tech support, and tracking tech issues to be resolved.

Skills & Competencies:

  • Excellent communication skills in writing and orally
  • Excellent organizational and multi-tasking skills
  • Proficient in Microsoft Word, Excel, Dropbox

To be successful in this role, a candidate should demonstrate:

  • Strong written and oral communication skills, using excellent grammar, spelling, and punctuation in order to present the Law Office in the most professional light and to help ensure cases are successful; and
  • An ability to get projects done, to produce work for review, make progress, achieve interim steps and chart next steps;
  • Flexibility, as priorities can change daily based on client and lawyer needs;
  • Self-direction, able to make progress independently but to know when to seek guidance and reviews;
  • Accuracy, with an ability to proofread, self-correct, and polish your work before sharing it for review, and to make corrections and editorial changes quickly;
  • Teamwork, with a willingness to share input and pitch in, along with a willingness to receive input and ask for help.

Compensation and Benefits

  • $25-$30 per hour
  • Paid vacation time (five days), sick time (three days), and federal holidays (five days) following probationary period
  • Minimum one year commitment
