Grand Canyon University is looking for an Administrator Coordinator for the College of Theology! This position plays a key role in the operations of the college office by providing day-to-day oversight of inter-office operations to ensure activities, programs, projects, and services are administered effectively.

Target Hire Date: July 2025

Schedule: 8:00 am - 5:00 pm, Monday - Friday

Location: GCU Main Campus

What you will do: 

Provide administrative support for inter-office operations including coordination of meetings, projects, operations, and communication with faculty and staff under the direction of the Dean.

Manage the Dean’s calendar, coordinating details related to meetings with college faculty and staff as well as university and external stakeholders; maintains departmental and events calendars.

Create and archives attendance records, presentation materials, and minutes for select meetings and serve as initial point of contact for the college and Dean, vetting and directing requests, inquiries, information, and other types of correspondence.

Proactively maintain an appropriate inventory of necessary office supplies and order and replenish supplies as necessary to within budget.

Assist with planning and organizing special events, conferences, meetings, etc. initiated or hosted by the college including preparation and coordination of plan details, logistical arrangements, timelines, and communications based upon the event. 

Coordinate communicative and engagement efforts on behalf of the college by leveraging social media, digital platforms, and college announcements and promotions.

Assist with organizing and maintaining facilities in coordination with internal stakeholders and external departments. Assist with navigating the university’s processes for purchasing, accounts, student worker management, payable/receivable, public safety/parking, etc.

Receive and reconciles receipts, statements, invoices, expense reports, etc., identify and resolve discrepancies, and submit for payment or approval; follows up as necessary on payments.

Coordinate hiring of student workers, assign work to student workers, verify, and approve time for payroll reporting, and provides advice and guidance regarding the college and university’s processes and procedures.

Communicate current administrative policies and processes to faculty and staff and maintain physical and electronic files and may prepare reports which may include highly sensitive information.

What you will need:

A bachelor’s degree from an accredited institution is preferred but not required.

Exceptional interpersonal skills and customer/student service focus with the ability to remain calm under pressure or when dealing with difficult customers.

Ability to manage multiple tasks and projects simultaneously with exceptional organization skill and attention to detail.

Excellent communications skills with a good command of the English language and good editing and proofreading skills.

Ability to cope with changing priorities, and manage timelines, in an effective and organized manner.

Intermediate level proficiency with MS Office applications including Word and Excel; calendar software; basic proficiency with databases and the ability to quickly learn new applications such as e-procurement software, CRM, xRM, Campus software, etc.

Good problem solver with critical thinking skills and sensitive to and respectful of cultural differences.

Provide a positive example to students by supporting the University’s Doctrinal Statement, Ethical Position Statement and Mission of Grand Canyon University.
